Mail or bring this form with your Deposit Check and Rental Fee to Emerald Dolphin, 850 Fort Pickens Rd., Pensacola Beach, Florida 32561. This should be done within 5 days after the receipt of this agreement.
Make checks payable to Emerald Dolphin Condominium Association and make note on rental fee check: For community room rental.
I agree to reserve the Emerald Dolphin community room on the ________ day of ________ from _________ am/pm to _________ am/pm for my exclusive use and that of my guests, and agree to abide by the following rules:
The $100.00 Rental Fee*, plus applicable SRIA fees and State and County Taxes, and a refundable deposit in the amount of $500.00 are to be mailed or delivered, along with this signed reservation agreement, to the Association Manager at least 10 days prior to the function date.
The person renting the facility must complete the cleanup items attached to this agreement or there will be an additional cleaning charge retained from the refundable deposit.
The deposit, or a portion thereof, will not be refunded if there is damage or loss to the facilities or if the Association incurs additional costs for cleaning. If such cleaning, damage, repair, or replacement exceeds the deposit, said person shall be responsible for any and all additional costs.
The fitness room, outside garden areas, lobby and the office on 4, and the pool and spa are not included in the rental of the community room. Use of any of these areas will result in the entire security deposit being forfeited.
The person signing this agreement shall be present at all times during the period that the facility is reserved and agrees to end the event by MIDNIGHT on the rental date and have all guests off the premises by 12:25 a.m. If the person signing this agreement is found not to be on the property during the rental period, the entire security deposit will be forfeited.
The person reserving these facilities agrees to hold Emerald Dolphin Condominium Association and its owners free and harmless of and from all injuries which may be sustained by the person reserving these facilities or any guest(s), including the payment of any attorney’s fees reasonably incurred in defending any action brought by the person reserving these facilities and guests. It is hereby agreed by each of the parties hereto that in the event any litigation should arise between these parties regarding any term, condition, or covenant herein contained, or the performance thereof, that the unsuccessful litigant shall pay all attorney’s fees reasonably incurred by the successful litigant.
The person reserving these facilities agrees that the facilities will not be used for any illegal purpose, and that said use for these facilities shall be in full compliance with all laws, statutes, and ordinances of Escambia County, the State of Florida and Emerald Dolphin’s rules and regulations.
The person reserving these facilities agrees not to bring any pets into the community room except those animals accepted under the American Disabilities Act: i.e. seeing/hearing/seizure assistant dogs.
The person reserving this facility agrees that the Artwork will not be moved or taken down and nothing is to be taped or nailed or otherwise affixed to the walls of the community room. Any violation of this will result in the entire security deposit being forfeited.
In addition, the person reserving these facilities will enforce the NO SMOKING POLICY.
If you need to cancel, please cancel within 48 hours of booked date. If you DO NOT cancel within the 48 hour period, you forfeit your $100.00 rental fee plus applicable SRIA fees and State and County Taxes.

EMERALD DOLPHIN COMMUNITY ROOM INFORMATION
AFTER THE FUNCTION IS OVER:
All Functions are to end by 12:00 Midnight and all guests are to be off the premises no later than 12:25 A.M.
Ensure all trash is collected in plastic bags and placed in the trash dumpster outside in the N.E. Corner of the parking lot. If there is no room in the dumpster, your trash must be removed from the premises.
Any remaining food, drink and other personal items left over from your function should be discarded or taken with you. DO NOT LEAVE FOOD OR OTHER PERISHABLES IN THE COMMUNITY ROOM. Return furniture to its normal location. Remove any decorations you may have put out. No visible evidence should remain that your function took place.
AS YOU EXIT THE COMMUNITY ROOM:
Before leaving the building, please ensure that the sliding doors are closed and locked.
DON’T FORGET TO TURN OUT LIGHTS AND SET THE THERMOSTAT TO 78!

PLEASE ADHERE TO THE FOLLOWING GUIDELINES:
COMMUNITY ROOM
__________ Make sure all appliances are unplugged and removed.
__________ Sweep floor. Please remove all debris, including crumbs.
__________ Remove all food, etc. from all areas.
__________ Do not leave food or drinks in the room after your event.
__________ Empty all trash from area.
__________ Remove any other items from room.
__________ Remove all decorations you have put out.
__________ Return all tables, chairs, and furniture to original locations.
__________ Clean up spilled food or drink.
RESTROOMS – MEN AND WOMEN
__________ Ensure all urinals/toilets are flushed.
__________Turn off lights/fans
DON’T FORGET TO TURN OFF LIGHTS, CLOSE AND LOCK ALL SLIDING DOORS, AND SET THERMOSTAT TO 78!!
Failure to do so will result in forfeiture of your $500.00 deposit.
